Primary Accountabilities:
1. Administrative Support
2. Program Management
3. Prepare invoices, reports, memos, letters, expense reports, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
4. Responsible for preparation, explanation, presentation of multiple corporate budget files. Ensures department functions within approved budget or provides explanation for variances.
5. Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors. Coordinates total compilation of monthly department staff reports and quarterly Board Meeting reports.
6. Schedules, plans, and coordinates meetings and conferences.
7. Handles correspondence, which may include gathering material necessary for Vice President, HR, to compose correspondence, reports, etc., and copies and distributes correspondence. Composes correspondence from brief instructions; initiates own correspondence as appropriate. In the absence of Vice President, HR, handles or refers for handling, all matters requiring attention/action.
8. Answer phone calls and direct calls to appropriate parties or take messages. File and retrieve corporate documents, records, and reports. Open, sort, and distribute incoming correspondence, including faxes and email.
9. Exercises initiative and judgment in determining action to be taken on routine and non- routine matters with respect to urgency, confidential status, and importance.
10. Responsible for the Company travel program. Reviews and analyzes travel records and reports. Meets with Agency managers for quarterly updates and negotiation of rates, perk programs, issues with internal customers.
11. Manage and/or assist with the coordination of additional corporate programs on both a local and worldwide level, including the TDW Jr. Scholarship Program, Wellness Program, company functions/events, all company-wide relocations, and additional projects and programs based on department initiatives/objectives
12. Assists with administration of the Compensation program including input and analysis on position evaluation, Hay ranking, salary structures, along with distribution thru the HRIS of annual pay adjustments. Maintains the job description database. Completes salary surveys in a timely manner and assists with Salary.com research.
13. Assists with administration of the EVA bonus program by maintaining an accurate database of participation levels and salary data for all annual and quarterly plan participants, including all International participants. Reviews eligibility of participants in quarterly program and confirms eligibility and compensation.
14. Maintains 401(k) Plan and Pension Plan files and documents. Prepares pension plan distribution calculations and estimates. Processes distribution requests to Administrators as appropriate. Maintains document database including SPDs, SARs, and Regulatory Filings. Reviews files on a periodic basis to ensure up-to-date beneficiary designations and mailing address is maintained for each participant.
15. Assist with the implementation of corporate university and other Talent Development programs through corporate communication, maintenance of calendars, and general administrative support.
Relationships with Others
- Reports to the Vice President, Human Resources. Regular direction provided from Manager, Compensation and Benefits and Manager, Talent Development.
- Supervises the on staff travel agents, hired through outside agency.
- Coordinates with and communicates regularly with global HR team, executive staff, management personnel, and employee base.

- Develops and maintains strong partnerships with management personnel within the organization to ensure high level of service and delivery satisfaction.
Requirements
1. Bachelor’s degree or equivalent experience.
2. Minimum five years HR experience preferred.
3. Ability to work with all levels of the organization
4. Excellent knowledge of computer applications, primarily Microsoft Excel, PowerPoint, and Word.
5. Excellent organizational skills and initiative with ability to prioritize work assignments and projects.
6. Ability to review documents and reports to provide assessment, analysis, and recommendations.
7. Good communications skills (effective listening, reading, and writing).
